JOB SUMMARY:

Responsible for full scale event management, client communications, and internal coordination for small to medium events (10 to 100 persons) and supporting large events (2500+ persons).  Events include trainings, expos, product launches, roadshows, incentives, national meetings, and town halls. Excellent client management skills and effective communication to execute projects across all event components including facilities, financial, and technology management are crucial to the success of this role. Ensures the performance of all duties in accordance with the company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the company operates.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Supports and collaborates with team to research, plan, and execute internal/external events, including but not limited to, evaluating and recommending event opportunities, vendor contract negotiations, speaker management, logistics, audio/visuals, staffing coordinations, catering requirements, and event budgets.
  2. Collects information to form digital event invitations, collaborates with marketing, fundraising, and other key teams.  
  3. Utilizes the tools in CVENT, craft dynamic multi-tracks, and multi-session registration websites to help maximize attendee experiences.
  4. Assists with managing event promotions & attendee communication for multiple events.
  5. Creates and maintains CVENT attendee engagement utilizing email and invitation analytics.
  6. Generates reports through event management software.
  7. Assists with improving technologies used for events.
  8. Collaborates with marketing team for event assets.
  9. Maintains a working relationship with departments, vendors and stakeholders.
  10. Assists with event set-up and tear down.
  11. Manages onsite registration/hospitality.
  12. Facilitates event operations.
  13. Performs other duties and projects as assigned.

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:

  • Demonstrates knowledge of, adherence to, monitoring and responsibility for compliance with state and federal regulations and laws as they pertain to this position.
  • Exceptional verbal, written and interpersonal communication skills.
  • Demonstrated proficiency in: Microsoft Office software, including Word, PowerPoint, Excel, and Outlook
  • Experience with online registration programs preferred (e.g. CVENT)
  • Diligent research skills.
  • Excellent time/agenda planning skills.
  • Ability to work independently and manage multiple projects simultaneously.
  • Ability to communicate effectively primarily with internal team members.
  • Effective organizational and time management skills.
  • Ability to organize and prioritize work schedules on a short-term and long-term basis.

 

EDUCATION, EXPERIENCE AND/OR LICENSES:

  • Bachelor’s Degree or Certification in Hospitality, Event Management, or Tourism preferred and a minimum of three (3) + years’ experience in a Meeting/Event Manager role or similar.
  • Documented experience in project management and client management required.
  • Experience in the Mortgage industry preferred.
  • Experience with budget management, financial tracking, and contract negotiations preferred.
  • Experience with logistics involved with event planning preferred.
