Reporting directly to the Founder and CEO, the Manager of the Office of the CEO, provides executive support in a close working relationship with a team of two other Executive Assistants.   

Manager of the Office of the CEO serves as the primary point of contact for internal and external matters pertaining to the CEO. Manager of the Office of the CEO must be creative and enjoy working within a fast paced, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will be an exceptional team player and will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, and organizational skills; and the ability to maintain a balance among multiple competing priorities. Manager of the Office of the CEO will need to have the ability to work independently and/or in collaboration with the other Executive Assistants and CEO direct reports on projects, from concept to completion, and must be able to work under pressure at time to handle a wide variety of activities and confidential matters with utmost discretion.

Roles and Responsibilities

Executive Support

  • Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments. Composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Plans, coordinates, and ensures the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEOs time and office
  • Provides a bridge for smooth communication between the CEO’s office with internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Coordinate with communications department regarding executive talking points, speeches and presentations; provide final product review
  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated
  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO, some of which may have organizational impact
  • Successfully completes critical aspects of deliverables with hands-on approach, including personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company
  • Prioritizes conflicting needs: handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressure
  • Travel with CEO as needed to support during meetings
  • Participate in high-level meetings and record minutes
  • Ability to work as needed to support meetings outside normal working hours and to meet project deadlines
  • Prepare expense reports and track company spending against budget

Education and Experience Requirements

  • Expert in Microsoft Office Suite (Outlook, Word, Excel, and Power Point), Google Drive, Adobe Suite, and QuickBooks
  • 3-5 years’ experience in administrative or similar roles
  • Worked with a CEO of a dynamic and growing company
  • Minimum of a High School Diploma; College Degree Preferred
  • Able to carry over 20lbs
  • Willingness to travel as needed
  • Valid Driver’s License
  • Clean driving record
